How to manage distributed services

A step-by-step method

1. Define the service unit

Use a shared reference for site, customer, period and scope. Avoid different names across planning, work reports and administration.

2. Assign decisions

Clarify who prepares, performs, reviews and receives. Every issue needs an owner and closure criteria.

3. Agree minimum evidence

Decide on descriptions, hours, materials or validation as appropriate. Do not collect data nobody uses or unnecessary personal information.

4. Review exceptions

Separate access problems, absences, scope changes and recording errors: each requires a different decision.

5. Close with a clear handover

Distinguish recorded, reviewed and billable. Check what is transferred through an action and what requires manual intervention.
